The difference between Files and Attachments in Salesforce?
As mentioned, there are many different ways and use cases for different types of files, attachments, content, or any other type of “material” in Salesforce. Perhaps the most confusing part is to compare Files and Attachments. In short, Files is the new way to go. You can add Attachments to events only in Classic view, although you can access Files in Salesforce Lightning.
Adding Files to Events
So, you are ready to start preparing your meeting materials with events? Great! Let’s go to Event or Setup to edit the Event object. From the Page Layouts, click on Related Lists then drag ‘n drop the “Files” object to the layout. That’s it!
If you want to go the extra mile (or kilometer if you are in Europe) just do one more thing. Go to Setup Home and type “Files” into the setup search field. Now, select General Settings and check the box next to “Files uploaded to the Attachments related list on records are uploaded as Salesforce Files, not as attachments“. Now all users in Salesforce Classic will use Files (instead of Attachments).
How to use Files in Meeting Assistant
It is amazing when you enable the Files feature because now you can make a great impact on your meetings. You or anyone who arranged the meeting can either select files from Salesforce or upload new files from your PC. By default, Salesforce offers a total of 2GB of a file. Therefore, if the document is already located in Salesforce, it’s best to use that!
When you go to your meeting, you can see the Meeting Materials on the right side of the screen. When you click on the file name, it will either download or open up the file in the browser. The meeting attachments are now only viewable in the browser version – not in the Salesforce1 app yet.
